Exhibitor Guidelines and Event Procedures

Exhibitor Guidelines and Event Procedures provide important information to help exhibitors prepare for a successful event experience at the Lancaster County Convention Center. These resources outline venue requirements, move-in and move-out schedules, booth regulations, safety standards, shipping procedures, and operational policies to ensure smooth event execution.

Knowing the rules before you arrive makes your move-in smoother, your setup faster, and your show floor experience better. The Lancaster County Convention Center has established clear exhibitor guidelines to keep events running safely and efficiently for everyone on the floor. Review the information below before your event and reach out to our team with any questions.

Exhibitor Information and Guidelines

Loading Dock and Move-In Access

Exhibitor freight and loading dock access is located at:

65 South Christian Street
Lancaster, PA 17603.

All move-in and move-out arrangements must be coordinated in advance with the show organizer and GES.

Hanging and Rigging

Signs, banners, and demonstration items that require ceiling suspension must be installed by LCCC personnel only. Contact the catering and events department in advance to arrange approved rigging support.

Floor and Wall Restrictions

To protect the facility and ensure a safe environment for all exhibitors and attendees:

    Crates may not be placed directly on carpet without protective padding

    Forklifts and electric pallet jacks are not permitted in the ballrooms

    Crates and equipment may not be leaned against walls
  • Z
    Decorations, signs, banners, and similar materials may not be taped, nailed, tacked, stapled, or otherwise fastened to ceilings, doors, walls, glass, columns, painted surfaces, fabric, or decorative walls

    Damage resulting from improper or unauthorized installation of materials will be charged to the exhibitor

Special Effects and Open Flame

    Smoke, haze, and water-based fog machines require a special permit. Contact LCCC for permit costs and approval requirements

    Open flame candles are not permitted. All candles must be enclosed in tempered glass containers

    Confetti use requires a $500 cleanup fee

Freight and Material Handling

All packages and freight, both incoming and outgoing, must be coordinated through LCCC's official material handling and drayage partner, General Exposition Services (GES). A material handling fee applies and varies depending on the size of your shipment and whether delivery and pickup to the convention center are required.

A GES coordinator will be on-site during designated load-in and load-out days to assist with delivery, pickup, and logistics.

The Lancaster County Convention Center has no on-site storage facilities for exhibit materials. Plan your shipments accordingly.

Cleanup and Labor

Cleanup of excessive trash not easily removed by a standard push broom or vacuum will be charged to the exhibitor at $25 per hour per staff member.

Labor charges for extended service hours apply at $25 per staff member per hour for any time beyond the standard four-hour service window.

Liability and Storage

The LCCC is not responsible for any loss of materials, equipment, or personal belongings left in unattended or unsecured rooms or areas. The LCCC accepts no responsibility for goods shipped to the facility prior to scheduled functions or left after a function is completed.

Who handles freight and material handling at LCCC?

Confetti is permitted but requires a $500 cleanup fee. Plan accordingly and notify your event coordinator in advance.

What happens if my exhibit causes damage to the facility?
